This explains what personal information we collect, why we collect it, who we share it with, and how you can have it corrected or deleted.
Aventura Sports Media is a sports media business based in Brantford, Ontario, Canada. We make highlight reels, social content, photography and promo cards for student athletes, clubs and organizations.
For anything in this policy, contact us at hello@aventurasportsmedia.ca.
PLACEHOLDER: business registration or operating name details, if you want them shown here.
Account details. Your email address and password are handled by our authentication provider. We store your name and phone number if you give them.
Athlete details. Name, sport, position, graduation year, jersey number, club or school team, and a photo if you upload one.
Order details. The plan and add ons you choose, links to the game footage you send, timestamps and notes, the amount, the status of the job and the links to finished work.
Quote and enquiry details. Your name, email, phone, organization, sport, dates, venue or location, and whatever you write in the message.
Booking details. When you book a call, we receive your name, email, phone if you give it, the time you booked and your answers to the booking questions.
Email subscriptions. Your email address, the date you agreed, the wording you agreed to, and whether you are still subscribed.
Basic technical data needed to run the site, such as the session that keeps you signed in.
Much of what we handle relates to athletes under the age of 18. We expect the account holder to be a parent or legal guardian, and we expect that adult to be the person providing the athlete's details, the footage and any permission for marketing use.
If you are under 18, ask a parent or guardian to set up the account and send the information.
We collect this information to quote for work, to produce and deliver what you ordered, to contact you about your job, and to keep records of the agreements you made with us.
Under Canadian privacy law, PIPEDA, we rely on your consent and on the contract between us. You give consent when you submit a form, place an order, book a call or subscribe to email. Marketing consent is separate and always optional.
We do not sell personal information, and we do not share it for anyone else's marketing.
We use these service providers to run the business:
Supabase, for the database, accounts and file storage.
Stripe, for payments and invoicing. Card details go to Stripe, never to us.
Cal.com, for booking calls.
Google, as the mail provider we send notification and reply email through.
Our hosting provider, which serves the website itself.
Each of these only receives what it needs to do its part of the job.
Our database, storage, payments and booking providers operate servers outside Canada, including in the United States and other countries. Information stored there is subject to the laws of those countries, which can include lawful access by courts and government authorities.
Order records, including what was ordered, the amount and the consent you gave, are kept for seven years, which is the period Canadian tax rules expect.
Footage links you send and any working files are kept while the job is live and for 12 months after delivery, then removed.
Finished deliverables are hosted for 12 months from delivery. You keep the files you download.
Athlete photos you upload are kept while the related order is active and for 12 months after delivery.
Quote requests and booking records that do not become jobs are kept for 24 months.
Email subscribers are kept until you unsubscribe, plus a record of the unsubscribe so we do not email you again.
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@aventurasportsmedia.ca and we will reply within 30 days.
A parent or legal guardian can ask us to delete a child's information, including photos and footage, and we will do so unless we are required to keep a record of the transaction itself.
You can withdraw marketing permission at any time. See the Photo and Video Consent page for what that means in practice.
You can unsubscribe from email with the link in any marketing email we send.
We use only what the site needs to work: a session that keeps you signed in, and a saved preference for whether you use the dark or light version of the site. We do not run advertising trackers.
Email hello@aventurasportsmedia.ca. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
